Organization Administrators manage instructor membership within their organization and coordinate instructor assignments to class sessions.

Core processes

Invite or add an instructor

  1. Click on “Invite Employee” from the quick actions menu at the top of any page. Quick Actions Bar
  2. Enter the name and email of the invitee
  3. Assign the appropriate role.
  4. If this is a new user to MOTORS advise them to check their email for a link that will allow them to set their password

!!! tip Roles in MOTORS nest, and keep all of the permissions of the lower permissioned role Student < Instructor < Maintenance Technician < Organization Administrator

!!! tip MOTORS users should use only 1 email account. A MOTORS account can be associated with many Organizations. If the user already has an account, invite them using the same method, they will receive the invitation to be associated with your Organization

Update instructor details

  1. Navigate to your instructors page in MOTORS Instructor page navigation
  2. Click view next to the instructor that needs the profile update. Select the instructor
  3. The edit button at the top of the profile will allow you to change the instructors role with your organizatoin (Instructor or Maintenance Tech) Role assignment
  4. Scroll down through the instructors profile to verify information
  5. At the bottom of the profile is the certificaitons section. Click “Add Certification” to add relevant certifications to the instructors profile. Certifications section

!!! tip Issued date and expiration date are required for adding a certification to an instructor profile

Assign instructors to sessions

Instructor assignment takes place at the class session level.

  1. Open a class.
  2. Navigate to the session assignment area.
  3. Add or remove instructors for a specific session.
  4. For classes that span multiple dates, use the bulk update feature to apply the same instructor to all sessions at once.

!!! tip Instructors will not be available in the instructor list of a course session if they do not have the corresponding certification attached to their profile and in good standing.

!!! tip For certifications expiring notifications will be sent to the instructor and administrators as a reminder. A “Re-certify” button will appear on thier certification card allowing for an update. Re-certify

What to verify before assigning

Before assigning an instructor to a session, ensure:

  • You are logged in to the correct organization
  • The instructor belongs to your organization.
  • The class belongs to your organization.
  • The session dates do not conflict with the instructor’s other assignments.
  • The instructor is active and has not been suspended by a state-level administrator.
